Retailer Reorder Report
Use Headset’s Reorder report to quickly determine what products need to be restocked at each of your store locations.
Our Reorder report is uniquely designed to show you only the products that need to be ordered based on your desired weeks of coverage and the sales velocity of each individual product. Items with enough stock on hand to carry over until your next order, will not show up here.
To get started, let’s begin with understanding the filters provided here and how they affect the data results.
Filters:
Store: Use to select the store location you want to run the report for
Calculate Sales Values / Trailing Days: This tells the report how far back you wish to look at sales to determine the sales velocity of each product. This time frame will be used to calculate the total units sold and the average units per day. You now have the option to select a custom time frame here if our pre-determined time frames don’t work for your analysis.
Custom Time Range Dates: Use this when the trailing days’ options don’t cover your needs for the analysis. This custom date will only work if you’ve chosen “Custom Time Frame” in the prior filter.
Inventory Should Cover: Use this filter to tell the report the number of weeks you want to restock this store for. This filter will also affect the minimum suggested order calculation when the results populate.
Buffer Days: Use this filter for any buffer room that may be needed to account for delivery of the product or any other delays in fulfilling the next order for the store.
Estimated Increase/Decrease in Demand: Use this filter to account for upcoming holidays where you expect a lift in sales or slow periods of the year where you can expect a decline. This will alter the quantity we estimate should be ordered.
Optional Category: Use this to focus on a specific product category to be reordered
Optional Vendor: Use this to select a specific vendor to focus on if you have more than one license
Optional Brand: Use this to select a single brand from your product mix to focus on
Optional Unit: Use this to focus on a specific package size
Optional Product Name: Use this to focus on specific products at the store that may be at risk of selling out
Running the Reorder Report:
Calculating the minimum suggested order:
- We calculate the average units sold per day only when the product was in stock. If you are looking at the previous 60 days, but the product was only in stock and available for 30 days, then the average units per day would be based on the 30 days it was in stock and available to sell.
- The report then looks at your desired weeks of coverage selected in the filter at the top of the dashboard.
- Based on the average in-stock units per day sold in the time frame you’ve chosen, the current quantity in stock, and the number of weeks of supply you’ve chosen, we can quickly determine the minimum suggested order amount to cover those weeks of supply.
Any selections made in the buffer days and estimated increase or decrease in demand filters will also affect the minimum suggested order here.
First, make your desired filter selections.
Once the report runs, you will see a summary of the data at the top of the page. These sales stats are for all product sales you have at this store location.
As you move down the page, you’ll come across the Product List. The Product List is going to show you the individual products that we suggest be included in your next order. The products sold in your selected time frame are evaluated individually.
Again, this list will only show you what we determine needs to be ordered, not all products. The suggested order amounts are based on the individual sales for each SKU listed here.
Included in this product list is:
Total Quantity On Hand - the current number of units the retailer has on hand. If you select historic time frames this will still be the amount on hand as of today
Average In Stock Units Per Day - the average number of units sold per day when the item was in stock
Total Sold In Time Frame: total number of units sold in the Calculate Sales Values/Trailing Days filter
Estimated Days Remaining - estimated number of days the quantity on hand will last for given current demand
Minimum Suggested Order - minimum quantity of the product suggested for the next order based on sales and desired weeks of coverage
Min Suggested Order + Increase/Decrease in Demand - increases the demand used to forecast by the % chosen in the percent increase/decrease filter
Percent Days In Stock - the percent of days the product was in stock in the time period chosen
Stock Coverage Ratio - stock on Hand vs trailing Sales Ratio - this uses current units on hand and average in stock daily units sold.
A 1.0 ratio means the item is properly stocked to cover the desired weeks of coverage selected in the filters. Anything above 1.0 is sufficiently stocked to cover your desired weeks of inventory on hand and anything below 1.0 means it's understocked for the demand, and some units will need to be ordered.
Finally, the last tile you’ll find on our Reorder report is our Brand List. This tile was created for products that are easily interchangeable like flower where indica, sativa, and hybrid strains can be substituted as needed.
The brand list looks across all products for a given category/brand/weight combination that has one or more products sold in the selected time frame.
As a result, this table will no longer be calculating the minimum suggested order product by product and will consider what the store has on hand for the related products.
In the below example, you can see that this store is sold out of 1gram concentrate products from this brand. Based on the sales velocity of 1 gram concentrates at this location, we are suggesting that you order a minimum of six products on your next order.
Knowing this information, you can now request 1-gram concentrate products to be included in your next order, whether the strains you ordered last time are still available or not, the goal here is to ensure that for the 1-gram concentrate segment, this brand is properly represented on the shelves.
